The Opportunity
The Administrative Coordinator – Retail Operations is responsible for the coordination of a variety of activities and tasks, communication to the retail network, managing retail operation guidelines and is a point of contact for retail store managers, business units, and external vendors. This role also provides administrative support within the Retail Operations team. This role is also responsible for providing direct support to the Customer Experience team.

Reports to: Manager, Business Integration
Essential Responsibilities
- Provide administrative support to the Retail Operations team, including Manager, Business Integration and the Regional Directors including arranging meetings, events, training seminars and travel arrangements, catering and dietary requirements, entering time and attendance for business unit.
- Coordinate approval for invoices and correspondence on behalf of the Regional Directors.
- Liaise with internal stakeholders including retail store managers and business units to share and triage information and ensure successful and timely workflow
- Maintain the Operations shared calendar to ensure all relevant and significant target dates are tracked for the Operations business unit
- Assists in management of operational communications to the retail network and work with external vendors to manage delivery and order schedules
- Place and monitor orders for retail with external suppliers for supplies and services
- Monitor, code and process miscellaneous Operations and Retail expenditures invoices weekly/monthly for payment under direction of Manager, Business Integration; review for discrepancies and escalate any issues to Manager as required
- Coordinates with retail locations on maintaining accurate information for current valid vendor coupons and vouchers
- Prepare written correspondence, reports, presentations and meeting minutes for both internal and external communications as directed
- Using weekly employee change report to maintain content and administer permissions for Swizzle (SharePoint) in the Retail Operations’ & Regional Director sites
- Maintain store information spreadsheet & associated lists for internal/external websites
- Develop, Edit and update Retail Operating guidelines for review by Manager, Business Integration and other Stakeholders
- Manage transfer requests from all retail stores
- Order location specific business cards as needed for retail
Secondary Responsibilities
- Monitor and respond appropriately to customer inquiries from C2 and NSLC Customer Service Line and direct and escalate queries as required
- Assist Manager, Business Integration with business project in required areas
- Make recommendations regarding the efficiency & effectiveness of current procedures of this position & the business unit
- Create surveys when Customer Experience or other business units require information from the retail network
- Assists in the coordination of vendor delivery schedules to stores during the holiday season
- Act in backup capacity to other Retail Administrative Group functions
- Demonstrate commitment to the NSLC’s Values and Service Standards, social responsibility mandate and to workplace health and safety
- Perform other related duties as assigned
- Occasional travel throughout the province may be required
Qualifications
As a qualified candidate, you will have:
- Grade 12 plus a certificate in Office Administration, or a similar program
- Two years’ experience in an administrative role
- Advanced-level MS Word and Excel skills
As the ideal candidate, you will also have:
- Undergraduate degree in a relevant discipline, such as Business Administration
- Experience using SAP
- Experience working in a retail organization
- Valid NS driver’s license with the ability to produce a clear Driver’s Abstract and access to reliable transportation.
