The Opportunity

The IT Coordinator is responsible to coordinate the flow of documents related to assigned IT processes. They are responsible for ensuring compliance with defined change management processes. It is the IT Coordinator's responsibility for ensuring compliance by making sure that all requests are approved by the appropriate person(s) and that the accompanying documentation is complete. They will work closely with Business Unit leads & coordinate the required efforts with IT and business unit teams to effectively implement changes and account access.

The IT Coordinator is responsible for ensuring that requests for access are well documented and that the person approving the request has the approval to do so. They also perform account administration tasks for various NSLC systems, by ensuring access requests are assigned to the appropriate technical teams. They are responsible for ensuring that process and procedure documentation is updated regularly. They are also responsible for coordination of invoices and contracts, ensuring that invoices are paid on time and adhere to prescribed procurement processes for PO matching or creation where needed, as well as approvals by the appropriate person(s).

Reporting Structure

Reports to: Manager, IT Application Support

Essential Responsibilities

  • Ensure all IT changes are logged, complete, approved and meet audit requirements.
  • Validate weekly reports on change requests, change activity and Forward View of Change
  • Update documentation related to change controls continuously to ensure best practices are followed.
  • Ensure proper submission of change requests.
  • Coordinate all change activity provided by external IT suppliers.
  • Coordinate and maintain access requests, by ensuring they are directed to the appropriate technical teams for SAP systems, Warehouse Management Systems, Point of Sale, Active Directory and other various IT systems.
  • Facilitate meetings related to IT change management.
  • Ensure that IT service contracts and invoices are actioned according to established guidelines and within established timelines.
  • Ensure that guidelines and timelines related to IT service contracts and invoicing are well-documented and well-understood.

Secondary Responsibilities

  • Provide process overviews or guidance to other business unit employees with regards to change control and account access processes.
  • Coordinate & ensure compliance with Audit requirements for all changes to our environments.
  • Make recommendations for process improvements, and maintain all documentation pertaining to IT Operations process and procedures, with a focus on documentation related to the their role.
  • Demonstrate commitment to the NSLC’s social responsibility mandate.
  • Demonstrate commitment to workplace health and safety.
  • Other related duties as assigned; some travel, primarily within NS may be required.

Qualifications

As a qualified candidate, you will have:

  • Diploma in Business Administration, Information Technology or relevant experience
  • 1 to 3 years experience in administration of technical documentation, invoicing and/or system access management

As an ideal candidate, you will also have:

  • Experience in change control processes

 

An alternate combination of education and experience may be considered equivalent.
